Job Purpose

This is a busy and varied post which provides administrative and clerical support to a primary team as well as occasional support to other teams as needed. As this is a varied role, organisational skills and the ability to adapt to different situations and working practices are essential. We are looking for a motivated and enthusiastic candidate who will be able to hit the ground running with minimal supervision.

Principle duties

• Produce accurate work from instructions requiring a specific layout and terminology on Microsoft Office applications in support of the work of the team and to undertake copy typing accurately, including confidential documents as allocated by Management.
• Provide administrative support to organisation and coordination of events.
• Process requests, send out requests for various reports, collate and prepare information packs, provide assistance for various internal meetings and forums, create agendas and associated paperwork to board members, attend meetings for note taking purposes and to subsequently distribute them.
• Contribute to and maintain efficient records as required.
• Undertake general office duties, including photocopying, shredding and filing as instructed.
• Provide backup relief and services where required to support the administration service within the establishment.

Knowledge and Skills

• The candidate requires a good standard of education together with experience of working in an office environment.
• The candidate must have excellent typing skills; experience of audio typing is desirable. The candidate must have excellent skills in taking notes at meetings.
• Excellent keyboard skills and the ability to adapt to a wide range of computer systems are essential, both Microsoft Office applications and bespoke packages.
• Excellent interpersonal and communication skills are essential as the candidate will deal with enquiries at all levels from staff and outside organisations.
• The candidate must be highly motivated, able to work with little supervision, use initiative and prioritise effectively to meet deadlines.
• A high degree of confidentiality is essential as the post holder will have access to personal and sensitive information.
