Client Officer (Share Plans/EBT’s)


Our client is wishing to recruit a Client Officer (Share Plans/EBT’s) to provide trust and company administration services, including proactive client contact in a professional manner and in accordance with regulatory requirements, service levels and company standards so as to meet with client expectations.

Autonomously administer a portfolio of clients, with the necessary support of other members of the team as and when required.
To actively take responsibility for the training and development of a trainee administrator to build and develop their knowledge and enhance their career and promotion prospects.
The successful candidate will also need to be comfortable in autonomously administering a portfolio of Share Plan clients, with the necessary support of other team members as and when required.

Accountabilities and main responsibilities

Develop strong relationships with clients, intermediaries and third parties and identify key contacts so as to be seen as the first point of contact in relation to own portfolio;
Maintain an awareness of client requirements and expectations in relation to the satisfaction of share awards/options granted by clients to their employees under various Share Plans by maintaining regular communication with clients and their advisors and working closely with the manager/director to agree and assist with appropriate administrative actions in order to achieve required Service Excellence levels
Consistently produce high quality work, with a right first time approach, by producing all client reports (letters, emails, statements, payments (including FX payments) and shareholder information etc) to a high standard of accuracy using approved templates in accordance with expected Service Excellence levels
Take responsibility for own performance and, as a mentor, help provide opportunities for other team members to develop their skill set
Demonstrate a good understanding of relevant legal and regulatory requirements and responsibilities and carry out all trustee activities in compliance with legal and regulatory requirements;
Maintain accurate reports of time spent on time billing module, on a daily basis to ensure all time billed is reasonable, justified and recoverable;
Work collaboratively as part of a team, facilitate and encourage open communication and contribution to a “can do” positive attitude and approach.

Qualifications and skills

To hold or to be actively working towards a professional qualification recognised by the JFSC.
Previous relevant experience of working within a trust and company business, specifically in respect to Share Plans / EBT’s.
Accounting and bookkeeping skills with the ability to identify potential risk issues and escalate when necessary.
Ability to understand the purpose of a set of financial accounts and confident in day to day bookkeeping.
Ability to work as part of a team.
Ability to present ideas in user-friendly, business-friendly and technical language.
Proven analytical and problem-solving abilities.
Ability to effectively prioritise and execute tasks in a fast paced environment.
Exceptional communication and customer service skills.
Experience working in a team-oriented and collaborative environment.

Good standard of oral and written communication skills, to allow effective communication with colleagues at all levels.
Good interpersonal skills.
Ability to prioritise workloads and use own initiative.
The ability to work within allocated deadlines and according to instructions and Company procedures.
Confident in using all systems necessary for day-to-day tasks and ability to identify own training needs.
Good organisational and administrative skills, with the ability to identify and suggest procedural improvements.
To be aware of, and convey, the correct professional image and high standards applied by the Company.
Ensure that own skills and knowledge are kept up to date, meeting regulated CPD

Good working knowledge of Word, Excel, Outlook with the ability to learn other relevant systems and use of all other office equipment.
Ability to multi-task, prioritise workloads and manage timescales.
Attention to detail and accuracy.
Strong organisational skills.
