Our client is seeking an experienced administrator to join their friendly property team.
To provide efficient administrative support in the management of Property files.

Specific Responsibilities:

Receiving and dealing with incoming telephone calls.
Opening/closing files.
Completing Terms of Engagement letters and associated documents and completing client take on procedures.
Conflict checks.
Producing new quotes and obtaining fees from lawyer.
Liaise with Estate Agents re property transaction/s
Responsible for ensuring all information is input and up to date on client matter on system.
To ensure all documentation returned & completed from client.
Ensure inventories are received & approved by client.
To assist the property team as required in the execution of client work.
Organising Power of Attorney’s where required, ensuring executed & court stamps ordered.
Ensuring client files are kept up to date with relevant documentation.
Obtaining customer due diligence documentation from clients.
Updating clients address post completion.
Managing appointments for the team.
General typing & audio typing.
Photocopying and scanning.

Sale:-
Recall old files, confirming on system this has been actioned.
To log queries received from purchaser’s lawyer, clearly labelled in matter history on system.
Responsible for sending digimap plan to purchaser’s lawyer.
To deal with redemption requests.
Deal with Acts of Court for cancellation.

Purchase:-
Prepare and send out search enquiry letters, providing responses received to Lawyer.
To prepare and send standard queries to the other party, ensuring responses clearly labelled in matter history on system.
Ensure loan documents are received and sent on to the client via email.
Liaise with Conveyancer/Legal Assistant in order to organise a completion meeting.
Organise meeting room for completion meeting and calendar appointments to be sent for Lawyer, Conveyancer and Legal Assistant.
Ensure funds are received from client.
