Office Receptionist

Our Client is seeking a Secretary/Receptionist who is a quick learner and can use their own initiative as the candidate will be working independently.

This role requires good computer skills as the department uses a number of different systems.

A calm and polite telephone manner is essential for this role, as is the ability to interact on an individual level with members of the public. Communication skills are paramount for this position.

Principal Accountabilities:
– Arrange appointments for clients
– Clerical duties as required
– To deal with all incoming mail and ensure mail is posted on time
– To deal with all incoming telephone calls and enquiries whether by telephone or personal callers; passing messages and requests for appointments promptly to the team either by telephone or email
– To undertake reception duties, welcoming visitors to the department, informing staff of their clients’ arrival for their appointments, distributing psychological measures, consent forms and satisfaction questionnaires to clients as necessary
– To work effectively as part of a team to provide cover for other administration staff when required and to be flexible regarding working hours to meet the needs of the service
– To undertake any additional duties as appropriate and delegated by the Office Manager

Knowledge & Experience:
– Proven organisational skills, with the ability to prioritise and manage time and workload
– Excellent interpersonal skills and communication skills
– The ability to deal sympathetically and yet effectively with a wide range of service users and their families
